About the Role
Studio Manager - part time
Farringdon
3 days a week
A lovely small Architecture practice based in Farringdon is looking for a part time Studio Manager to join them on a part-time basis.
The Studio Manager will be responsible for handling a variety of administrative, operational, and financial tasks in a fast-paced environment. This position plays a key role in maintaining the studio’s organisational structure and supporting the team in achieving the studio’s goals.
The ideal candidate will be a detail-oriented, self-starter who thrives in a collaborative and creative setting.
Office Administration:
● Manage the general office operations, ensuring that everything runs efficiently.
● Oversee office supplies and equipment, placing orders when necessary, and ensuring the office is well-organised.
● Maintain office records, filing systems and databases, ensuring information is easy to access and up-to-date.
● Oversee Streamtime ensuring fees, timesheets and project programmes are up-to-date
● Serve as the point of contact for office-related inquiries, both internal and external.
● Organise samples library in the studio and CPDs
● Organise studio breakfast on 2nd Tuesday of each month, Summer party and Christmas party
Financial Support:
● Assist with managing studio budgets, tracking expenses, staff cost rates and ensuring cost-effective practices.
● Prepare and issue monthly invoices, payments, and financial tracking.. Chase overdue invoices.
● Bookkeeping for the practice collating receipts, reconciliation and working with the accountants to prepare VAT returns
● Monthly reporting to the Founder’s on financial aspects of the practice including project profitability, cashflow and balance sheet position
● Ensure appointment documents for each project are prepared and signed
Human Resources Support:
● Assist in onboarding of new employees and work experience placements
● Maintain employee records, handle payroll support, and monitor annual leave schedules.
● Manage office manual and communications related to HR policies and procedures
● Organise employee reviews every 3-6 months and following end of probation
Marketing and Project Leads Support:
● Assist with organising projects photoshoots, liaise with PR consultant for publications and organise competition submissions
● Coordinate website updates and liaise with website designer
● Schedule and coordinate networking appointments, lunches and dinners
● Responding to and qualifying new project leads, update CRM records and prepare monthly reports on new leads for the Founders to review
Interiors Support:
● Assist with purchasing 2nd fix architectural items, soft furnishings and FFE
● Updating project procurement tracker, managing financial aspects and reporting the Founders and Interior Architect
● Liaising with suppliers with 1st hand to coordinate delivery and install of items in accordance with project programme
● Visiting site to inspect delivery of items and assist with furniture installs
Qualifications:
● Bachelor’s degree in business administration, architecture, or a related field (preferred but not required).
● 2+ years of experience in office management, preferably in a design or creative environment.
● Excellent organizational, multitasking, and time-management skills.
● Strong communication and interpersonal skills.
● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with design-related software (e.g., Adobe Creative Suite, project management tools).
● Proficiency in project programming software such as Streamtime (preferred but not required).
● Basic understanding of architecture and design terminology
● Knowledge of basic accounting principles
Working Conditions:
● Part-time position 3 days a week (Flexible on days).
